What you should know

All the changes to RealtyBackOffice since my initial review almost two years ago have been for the better.

The transaction management features will provide the most value for your investment in a system with this much to offer.

However, it also provides an array of smart, everyday login tools for brokers, such as:

  • Dynamic transaction financials that detail every facet of a deal’s payouts
  • Auto-generated letters (paid at closing, commission request and escrow)
  • Reporting tools to oversee agent activity and revenue forecasting
  • Deal-driven task alerts, document reviews, commission approvals
  • Access to every note, task and activity within a transaction

RealtyBackOffice has built a system-wide integration with Google Apps.

As deals materialize within the system, every date, task and event associated with a listing pumps an email and deposits a calendar notice in a user’s Google account.

This is an effective way to help agents adapt to using RealtyBackOffice; the level of automation makes it exceptional in this regard. Alerts and calendar updates appear just short of instantly.

Agents comfortable with mobile alerts can see every required step of their deal broadcast to their phone’s homescreen.

RealtyBackOffice tightly links every aspect of a deal, as no task can be completed or document uploaded without every other related milestone being affected. This net of deal accountability supports every stakeholder and can provide broker peace-of-mind should a sale go sideways.

Outside of deliberate neglect, I can’t envision a task, date or dollar slipping by someone.

While this is a heavy product, it’s easily manipulated by a tight user experience. Transaction workflow templates are easy to create on the outset to mirror and streamline current manual processes.

Rounding out the offerings is a proprietary mobile-ready document management tool with a forms library, secure e-signing, audit-trails, and version history. It looked as good as what I’ve seen from DocuSign.

Deal contacts and agent profiles are easily related to properties, even across multiple physical locations.

Some users may prefer RealtyBackOffice’s task-driven interface, which opens the software with a list of everything pending per deal.

System-wide, the user interface handles the multitude of functionality very well and it comes loaded with branded skins for most national franchises.

Any broker new to their position or brand affiliation would be wise to consider due diligence on RealtyBackOffice. I find it to be a feature-full, accountability-laced platform for running real estate businesses.
